How to Set an Out-of-Office Message in Gmail
Whether you’re going on vacation or are simply taking a few days off from work, it’s important to let your colleagues and clients know that you won’t be available. The best way to do this is to set up an out-of-office (OOO) message in Outlook. This will automatically let people who email you know that you’re not available and when they can expect a response. Here’s how to set up your OOO message in Outlook:
Step 1: Open Outlook
Launch Outlook on your computer or access it through the web version on your browser.
Step 2: Click on File
Once Outlook is open, click on the “File” tab at the top-left-hand corner of the screen.
Step 3: Click on Automatic Replies (Out of Office)
Next, click on “Automatic Replies (Out of Office)”. You will find this option under “Info” on the left-hand side of the screen.
Step 4: Set Up Automatic Replies
In the “Automatic Replies” dialog box, click on the checkbox next to “Send automatic replies”. This is where you can customize your OOO message. You can choose the date and time you will be away and the date and time you will be back. You can also enter a message to let people know you’re away, for example, “I’m currently out of the office and will not have access to email until 2024.”
Step 5: Customize your OOO message
Under the “Inside My Organization” tab, you can choose who within your organization you would like to receive the OOO message. Here you can set a customized message for people within your company. Under the “Outside My Organization” tab, you can choose which email addresses outside of your organization should receive the OOO message. Here you can customize the message for non-company emails.
Step 6: Click OK
Once you’re happy with your OOO message, click the “OK” button to activate it.
Step 7: Turn off the OOO message when you return
When you come back from your vacation, it’s important to turn off your OOO message. To do this, simply uncheck the “Send automatic replies” box in the “Automatic Replies” dialog box.
By following these steps, you can easily set an OOO message in Outlook. This will allow you to enjoy your time off without worrying about responding to emails on the go, and your colleagues and clients will know why you’re not available, and when to expect you back at your desk.
